Find the invoices that never made it into QuickBooks.

Why the sync alerts don't catch this

Native QuickBooks sync alerts fire when a sync throws an error. Housecall Pro's own help docs say they don't cover transactions that fail silently or syncs that succeed with the wrong data. Jobber's sync-error list includes warnings that never stop the sync, such as totals that differ by pennies. The only way to find these is to compare both systems line by line, which is the job bookkeepers do by hand today.

  • Missing invoices: in the field-service platform, never in QuickBooks.
  • Duplicates: the same invoice synced twice, including renumbered copies.
  • Amount mismatches: edited after the first sync, so the two systems disagree.
  • Rounding differences: kept in their own list so they don't bury the real problems.

How it works

Export two files

The invoice export from Jobber or Housecall Pro, and the QuickBooks Online invoice list (.xlsx is fine).

Match

Invoices are matched on number first, then on customer and amount within a date window, then on customer and date. Customer names are matched even when QuickBooks formats them differently.

One report per client

Send exports for several clients at once. You get a summary across the book plus a report for each client.

Send one client's two exports. I'll send the report back, free.

Whatever it finds, even if that's nothing. Email both files to hello@syncchecker.com and you'll have the report within two business days.

Your files are used only to make your report. They're never shared, and they're deleted within 30 days or sooner if you ask.

Where this stands

syncchecker is new. The matching engine works and is tested, but only on sample files like the one above. It hasn't run on real books yet.

The Jobber and Housecall Pro column layouts come from the vendors' own documentation. QuickBooks doesn't publish its report export headers, so the first real QuickBooks files are what confirm the mapping. That's why the first report is free, and why I check every column before sending a report back.
